Coordinate RFP Stakeholders Without Losing Answer Ownership
Create clean handoffs among investment, operations, legal, and sales contributors.
Large RFPs fail when everyone contributes but nobody owns the final answer. The RFP lead should assign a single accountable reviewer for each subject, set the evidence needed, and make dependencies visible. Sales can provide client context, but it should not rewrite legal or operational facts.
At kickoff, translate questions into owners: investment process to the strategy team, service controls to operations, regulatory language to legal or compliance, and relationship history to sales. Ask each owner what source and review time they need. A deadline without an evidence request produces shallow responses.
When an operations leader returns a qualified answer, preserve the qualification. Do not shorten “available after implementation review” to “available.” If sales believes the prospect expects something else, route that gap to the clarification log. The lead’s job is to reconcile facts and use the supported wording.
Coach with a daily issue list: unanswered question, owner, blocker, decision date, and client impact. Escalate early when two sources conflict. At final review, verify that each answer still matches the approved evidence. Clear ownership helps experts contribute efficiently and gives the prospect a coherent, truthful submission.
Give contributors a single place to see the latest question wording and response status. Version confusion is itself a risk: a correct answer in an obsolete draft can become an unsupported statement at submission.
