Set evaluation criteria before a contact center RFP
Help a service sponsor turn an early RFP request into a review with operational owners and usable criteria.
An RFP can move quickly while the people who operate the service have not agreed what they need to judge. An account executive can slow that confusion by asking the sponsor to name the decisions behind the document. The goal is a fair evaluation that gives procurement material it can use.
Start with three questions. Which contact journeys deserve attention? Which teams will live with the changed workflow? What evidence would persuade the reviewers that a proposed approach belongs in the next stage? A response matrix becomes useful when those questions have owners. It also prevents a feature list from standing in for a service plan.
“Procurement needs our answers by Friday,” says Elena, the service sponsor. “They already have a template.” David replies, “We can help you fill it out, and I want to understand how your team will score the answers. Which customer journeys create the pressure?” Elena says that address changes and payment questions generate repeated transfers. David asks, “Who can describe those handoffs and who approves the scorecard?” She names operations, digital service, and procurement. David says, “Let us hold a short working session with those three groups. We can record the current path, the evidence each group needs, and any question that needs a technical review.”
Prepare a one page draft with columns for journey, decision, evidence, and owner. Bring an incomplete version to roleplay. A coach should listen for a request to involve operations before the representative offers detailed platform claims.
