Discuss a missed application deadline with care
Help a prospect understand an exception review while respecting the circumstances behind a late application.
A missed deadline can carry a story that deserves care, yet an enrollment advisor cannot create a seat or waive unfinished requirements. The useful conversation acknowledges the disruption, establishes what is complete, and shows the prospect where an exception request belongs. That gives the review team facts it can use and gives the prospect a concrete choice.
Rosa says, "My father was in the hospital and I missed the portfolio deadline. Can you admit me anyway?" Advisor Ben answers, "I am sorry your family has been carrying that. I can help you understand the request process. Have you submitted the application and portfolio, or are either still in progress?" Rosa says the application is ready but the portfolio needs two pieces. Ben replies, "The program director reviews deadline requests under the published process, and I cannot predict that decision. I can send the request link and confirm the materials it asks you to provide. The current cohort is close to capacity, so the review will need the complete record. Would you like to plan the two portfolio pieces before you submit?"
Ben avoids turning sympathy into an informal promise. He separates a reviewable circumstance from academic work that remains unfinished. He also avoids discussing other applicants or capacity details beyond the published status.
Practice with a fictional late applicant. Ask one question about completed materials and one about the requested path. Then write a follow up that lists the official form, the outstanding item, and the person who decides the request. Read it aloud and remove any sentence that implies an outcome.
