Set Expectations for an After Hours Delivery Request

After hours delivery depends on more than a requested clock time. The desk coordinator should ask about the location, gate access, receiving contact, permit or building restriction, requested equipment, and the latest acceptable arrival. Dispatch needs this information to review a route and staffing plan.

Vivian, a warehouse project manager, said, “We close at ten. Can the lift arrive at midnight?” Noel answered, “I can send that request to dispatch. Who will meet the driver, how will the gate be opened, and are there building limits on the delivery vehicle?” Vivian said security required an advance name and one lane stayed blocked overnight. Noel replied, “Please send the security procedure and the receiving contact. I will include the lane restriction in the request and return when dispatch has reviewed the route and schedule.”

Noel gives Vivian a practical checklist without claiming a delivery window. A complete request reduces the chance that a dispatcher must call back while the customer assumes the plan is settled.

Look at an after hours order from the past month. See whether a new dispatcher could find the gate procedure and contact in the record. If either is absent, roleplay the missing question. Keep the final summary to two sentences: what the branch will review and what the customer will receive next.
