The delay may begin with a support agent, a warehouse confirmation, a manager approval, or a finance reconciliation step. Start by asking where a refund request first appears and who can release it.
In a discovery call, a fictional home goods retailer says refunds take five days. The AE asks, “Can we follow one request from the customer email to the moment it is submitted?” The support lead explains that agents can create requests but need a fulfillment note before a supervisor approves them. Finance then checks a daily file. That answer identifies three handoffs without assuming that any team is at fault.
Ask what information each person needs, what happens when an item is lost in transit, and how the customer receives an update. Do not promise faster refunds, guaranteed processing times, or a particular policy outcome. Those details can depend on the merchant’s rules, account conditions, and the payment method. State the boundary plainly: “I can help map the workflow and bring the right specialist into the review; we should validate what is possible before changing expectations.”
Coach sellers with a roleplay. The buyer says, “Our customers need their money back immediately.” A strong response acknowledges the urgency, then asks, “Which approval or confirmation creates the longest wait today?” Score the AE for naming an owner and a next fact to gather.
