A shared phone can turn an ordinary reminder into a privacy concern. Access staff should verify the caller, update the communication preference through the approved workflow, and limit the conversation to the contact request. There is no need to ask why a reminder matters or discuss the purpose of an appointment.
Ask which approved channel the patient prefers and whether a portal recovery request is needed. Explain that a preference update affects future communications according to the organization’s systems and timing. If the patient reports an unexpected disclosure, record the facts and use the designated privacy escalation route instead of deciding whether an incident occurred.
