Explaining Late Arrival Options Without Promising an Exception

When transit fails a patient on the way to a visit, access staff can make the call less stressful by checking the record and explaining what the clinic decides. The clinic controls any late arrival exception. A representative can still identify available scheduling choices and preserve the caller’s place on a cancellation list when that service exists.
Ask for the expected arrival time and verify the appointment through the approved process. Then contact the appropriate clinic contact or read the verified scheduling note. Do not estimate what a clinician will accept. If the visit cannot proceed, explain the available rescheduling path, cancellation list, or other approved support in plain language.
In a fictional call, Theo says, “The train stopped and I will be eighteen minutes late. I cannot afford another ride this week.” Nia responds, “I can hear how much you worked to get there. Roleplay the call with one delay at five minutes and another at thirty minutes. Listen for a clear distinction between verified policy, the clinic’s decision, and choices the caller can make.
