Respond to a Window Scratch Report With a Fair Review
Acknowledge a property concern, gather documentation, and route it for review without deciding responsibility on the call.
A scratch found after window installation can feel personal because the homeowner sees it every day. The recovery manager should start by recognizing the concern and collecting a clean account of what was noticed, when it was seen, and what documentation exists. The call should lead to a property review with a documented process for deciding responsibility and any replacement.
“There is a long mark across the new dining room glass,” said Emilio. Manager Tessa replied, “I understand why you want this reviewed. When did you first notice it, and do you have photos from before or after the installation? I will add them to the case and ask the installation manager to review the record and contact you by Tuesday.”
Do not question the customer’s honesty, assume the crew caused the mark, or offer a credit before the authorized process is complete. A qualified reviewer may need to inspect the window and compare service documentation. If the glass is cracked or creates an immediate hazard, escalate that safety issue separately and tell the homeowner what contact will follow.
Roleplay a caller who says, “Your installer clearly ruined it.” The manager should validate the need for review without adopting that conclusion. A manager coaching the call can check for timeline, documentation request, safety assessment, review owner, and a concrete update promise that the team can keep.
