Confirm the desired dates, space, guest rooms, and decision timing. Then check the current booking status through the appropriate system or commercial owner. If a hold has an expiration or review process, explain only confirmed facts for the planner’s request.
In a fictional call, Becca said, “Our board wants October 14. Can you hold the ballroom until our meeting next week?” Sales manager Luis replied, “I will check the current status for that date and the space you need. How many attendees and rooms are you planning for?” Becca estimated 120 attendees and 45 rooms. Luis returned with the verified status: another group had a pending hold on the ballroom. He said, “I cannot promise that room or date today. I can ask our commercial team to review a proposal path for your program, and I can also show you October 13 and 21 if those work for the board. When will your board choose?” Becca said the vote was Tuesday. Luis recorded that timing and sent the alternatives with the status note.
The written follow-up should distinguish the planner’s requested date, the status at the time checked, alternative dates, and the next decision owner. A change in any of those facts calls for a fresh review.
