Agree on Quality Checks After Preventable Rework
Turn a rework conversation into a clear review routine with shared ownership and useful evidence.
Preventable rework deserves a specific conversation about the work system. A manager should describe the item that had to be redone, the check that was missed, and the effect on the team. Then ask the employee to help design a short review step they can carry out before handoff. The goal is reliable work, with a process the employee can use without constant manager intervention.
Omar returns a supplier update to Lena because two dates came from an older tracker. He says, “The update went out with dates that changed on Tuesday, and I spent an hour correcting it with procurement. Where did your review stop?” Lena explains that she checked the narrative but trusted the spreadsheet she had opened first. Omar asks, “What would catch that on the next update?” Lena proposes checking the current tracker timestamp and comparing every delivery date against the procurement list. Omar adds, “Put those two checks in the handoff note so I can see they happened.”
The check should fit the error. A long checklist can conceal the one control that matters, while an instruction to “be more careful” gives no usable action. Managers can also examine their own contribution. If a source changes often, the team may need a named current version or an earlier cutoff for updates.
Lena will use a handoff note with three lines on the next four supplier updates: source timestamp, date comparison, and a question for any mismatch. Omar will review the notes beside the finished updates each Friday. If the same mistake appears again, they will look at the source path and timing before deciding whether the check itself needs revision.
