Discussing a Preliminary Benefits Proposal With Labor Relations
Keep a proposed benefits change within approved communication and legal review before bargaining is complete.
A preliminary benefit proposal is especially easy to overstate when employees or a union request written information. The consultant should help the labor relations leader identify the proposal’s status, the approved materials, and the legal and benefits owners. The consultant does not interpret bargaining obligations or declare projected savings.
Say: “Because the proposal is not final, we should not describe it as a plan term or promise savings. I can help organize the approved benefits information and route the communication through labor relations and legal review. What exactly has the union requested, and when do those teams need a draft?”
Ask whether the request is for a summary, plan document, or response to a specific question. Confirm which statements have been approved and which remain under discussion. If the leader asks, “What do we have to disclose?” route that question to authorized legal and labor relations owners rather than giving a rule from memory.
Practice with a union email requesting details by the end of the week. Have the trainee build a response tracker with columns for request, approved source, reviewer, and deadline. Then roleplay a call where the leader presses for a simple savings statement. Review whether the trainee keeps the proposal preliminary while still offering a concrete way to move the request through review.
