Responding When Facilities Requests a Site Assessment
Coordinate an authorized path for a site review without implying installation approval or a final layout.
A facilities request is a signal that a capital evaluation is becoming operational. Treat it as a step to gather facts. The representative’s job is to coordinate the right technical review and preserve the customer’s decision path while the site and installation dates remain under review.
Facilities director Omar says, “Send a drawing and tell us where this will go.” Rep Celeste replies, “I can arrange the authorized site assessment process and provide the approved information available for that review. Which room, renovation contact, and target planning date should the technical team consider?” Omar says the room may change after an internal meeting. Celeste records that dependency and adds, “I will avoid presenting a preliminary layout as final. Once your team confirms the location, we can make sure the appropriate reviewers have the information they need.”
This language is practical because it identifies the missing facts and gives them a proper review path. A site review may depend on room dimensions, utilities, access, local construction decisions, and approved technical documentation. A verified assessment should establish those details before the team develops a facility plan.
Practice answering a facilities request with three questions: what location is under review, who owns it, and what decision changes the timing? Then state the next authorized review. A coach can listen for promises hidden inside confident phrasing, such as calling a draft plan “the installation layout.”
