Answering a Question About Medical Device Service Contract Scope
Use the executed agreement and the contract owner when a customer asks about an unfinalized amendment.
Service scope questions demand precision because a customer may be planning around an agreement that is still changing. The service manager should confirm the operative record and route interpretation of proposed terms to the authorized contract owner.
Contract manager Elaine says, “The amendment should include this recurring service item. Can you confirm it?” Manager Rob replies, “I can help identify the service history and the current agreement record. If the amendment is not executed, I cannot say it changes scope. Would you like me to bring in the contract owner who can review the document status and next step?” Elaine says yes and sends the amendment reference. Rob confirms he will provide the case details needed for that review.
Rob’s answer does not abandon the customer. It distinguishes information he can supply from an interpretation he cannot make. That prevents a casual call from becoming a commercial commitment. It also keeps the customer from receiving conflicting answers from service, legal, and commercial operations.
Before discussing scope, locate the agreement status and write down the exact item at issue. Practice a response that names the current record and the owner of the contract review. In a manager review, listen for phrases that accidentally treat a draft, request, or expected amendment as a final obligation.
