Correcting an Error in a Medical Device Service Record
Address a facility’s documentation concern through the documented correction and review path.
A service record with an incorrect location, contact, or visit detail can create confusion for the facility and the internal team. The service manager should acknowledge the reported discrepancy, preserve the existing record, and route the correction through the authorized documentation process. Do not alter a released record informally or speculate about technical work that the technician did not document.
Biomedical manager Chloe says, “The report lists the wrong room. Our compliance team will reject it.” Service manager Omar answers, “I can see why that needs correction. I will compare the report with the case record and ask the documentation owner to review the room detail. Can you send the correct location and the reference your team uses? I will confirm the correction request is received and tell you who owns the next update.” Chloe provides the room number and service ticket reference.
The manager has taken ownership of the process without deciding that the entire report is inaccurate. A clear correction request preserves an audit trail and gives the responsible team the evidence needed to amend the record according to its process.
In a coaching exercise, give a manager a customer complaint about one report field. Ask them to state the reported fact, request supporting reference information, and name the documentation owner. Listen for language that avoids rewriting the technician’s work from memory.
