Build a renewal recommendation from lease timing, unit records, market information, and the owner’s stated priorities.
A renewal recommendation should help an owner decide before notice dates close in. Gather the current lease terms, notice timing, payment record, service history, unit condition, and current market materials allowed by the management agreement. Ask the owner whether continuity, income, planned work, or another concern carries the most weight. Present the sources and their dates so the owner can see what informs the recommendation. A property manager can describe likely considerations, while the owner chooses the offer and the resident retains the right to respond.
In a fictional review, owner Kay says, “Raise the rent as much as possible. This resident has never been late, so they will sign whatever we send.” Manager Terrence says, “Their payment history is one useful part of the file. I also want to show you the lease end date, the notice deadline, recent comparable offerings, and the bathroom work planned for winter. Which priority should guide your decision if those factors point in different directions?” Kay says stable occupancy matters because the bathroom project could disrupt a turnover. Terrence presents two documented options with their timing and explains the approved notice process. He does not predict the resident's choice or promise that either amount will be accepted.
Build a review sheet that makes every recommendation traceable to a record. During coaching, give an agent market listings with different dates and a late change to the owner’s priorities. The agent should update the recommendation and identify the notice deadline before speaking with the owner. A manager can check whether the conversation treated market data as context and preserved the owner's decision. Good preparation makes renewal discussions easier to review and keeps the property team from confusing a recommendation with a guaranteed result.
