Collect Vendor Insurance Records Before Scheduled Work
Coordinate owner-approved work by gathering current vendor documents and access details.
Before outside work begins, a property manager may need current vendor records under the management agreement or building rules. The manager can request the documents, confirm the work scope, and coordinate access after required approvals are in place. The manager should not describe coverage as adequate without the appropriate review.
Nolan hires a painter for his rental and tells manager Rhea, “He starts Tuesday. You already have his insurance from last year, right?” Rhea checks the vendor file and finds an older certificate. She says, “I will request the current documents required for this job and confirm the building’s access process. The authorized reviewer will determine whether the materials meet our requirements.” Nolan says the painter needs two full days inside the unit. Rhea asks for the detailed scope, proposed hours, and whether the resident has received communication through the approved process.
Rhea does not tell Nolan that a certificate protects him from every claim. She keeps the date, source, and reviewer attached to each document, then gives the vendor a confirmed scheduling response. If the record is incomplete, she explains what is still needed before access is arranged.
Practice with a vendor who sends an expired document and asks to start anyway. The manager should identify the missing current record, state the review owner, and communicate the next possible scheduling step. Review whether the response is firm, factual, and respectful.
