Handle a Renewal During Vendor Consolidation
Clarify evaluation criteria when a customer wants fewer learning and coaching vendors.
Vendor consolidation can reshape a renewal even when users value the program. A renewal manager needs to understand who is leading the review, what capabilities they are comparing, and how the customer will make a decision. The conversation should give the customer a factual account picture while respecting the procurement process.
In a fictional call, sourcing director Felicia tells renewal manager Darnell, “We are reducing the number of learning vendors.” Darnell asks, “What functions are included in the review?” Felicia says coaching, content, and learning administration. Darnell continues, “Which criteria will your team use to assess each area?” She names manager usability, reporting, and contract management. Darnell says, “I can provide approved material about the current program and arrange a review with your enablement owner so you can assess those criteria. Who else needs to see that information?” Felicia includes IT and learning operations in the next step.
Consolidation is a customer decision. The renewal manager adds value by making the present scope, available records, and appropriate specialists easy to access. Do not characterize competitors or promise capability beyond approved information. Procurement may need a different meeting from enablement, and the account plan should reflect both paths.
Create a three column note for a roleplay: review owner, evaluation criterion, and source of verified information. Ask a partner to play a sourcing leader who wants a fast answer about every capability. Practice responding with the information you can confirm and the person who can address each remaining question. The note keeps a complex review organized without losing the customer’s decision process.
