Prepare a renewal review from service evidence
Help procurement and a customer sponsor review service history before commercial decisions.
Renewal conversations become difficult when procurement receives a commercial request before it has a shared record of service experience. A customer success manager can prepare a better review by collecting the contracted context, verified incidents, recovery actions, and customer outcomes. The resulting discussion document shows the status of each concern and any work still underway.
Ask the sponsor and procurement lead what they need to evaluate. One team may want a chronology of escalations; another may need the current support contacts and open actions. Ask the service manager which facts can be confirmed through records. Keep customer observations in the document with their source and avoid restating them as a provider finding unless the evidence supports that conclusion.
In a fictional planning call, Greg from procurement says, “Send us the renewal proposal and we will decide.” Alina replies, “I can prepare the commercial materials after we complete the service review you requested. Would it help to organize the record around incident dates, business impact, recovery actions, and current owners?” Greg says the sponsor wants proof that concerns were addressed. Alina says, “I will ask the service manager to provide the verified status for each action, and I will mark any item still under investigation. Your sponsor can review the record before we schedule the renewal meeting.”
The decision is whether a commercial date should outrun the service record. When customer concerns remain material, give the review a defined place in the renewal plan. It allows procurement to evaluate the full context and lets the customer success team maintain clear ownership.
