Planning an Asset Management RFP Award Debrief

An award notice ends one RFP cycle, but a respectful debrief can improve the next one. The RFP lead should ask for feedback within the prospect’s stated process, set expectations internally about what may be shared, and turn any allowed feedback into specific operating improvements. The aim is learning, never extracting confidential information about the selected firm.
After a municipal plan selects another manager, the lead writes, “Thank you for the opportunity to participate. If your procurement process allows a debrief, we would value feedback at a high level on our response and presentation.” If the officer offers a short call, the lead prepares questions about clarity, completeness, and process fit. During the call, they might ask, “Which part of our submission was hardest to evaluate?” This question keeps the discussion on their submission.
Do not challenge the decision or request protected scoring records unless the formal process provides them. Record feedback as the prospect stated it, then separate it from internal guesses. Assign each usable insight to an owner: content library, evidence process, presentation preparation, or qualification discipline. If the prospect declines a debrief, acknowledge the answer and preserve a professional future contact path.
