When an RFP Portal Uses an Unfamiliar Operational Term

An unfamiliar term in a consultant portal can turn a routine operational question into a material representation risk. Selecting the closest available answer may feel practical when the portal locks after submission, yet it can create a statement the firm cannot support. Capture the portal field exactly, including answer choices, help text, and deadline. Check whether an approved operational document uses the same term. If it does not, map the related facts without equating them, and ask operations and legal whether the prospect’s definition can be clarified or whether a reviewed response is available.

The best response identifies the source gap early, maintains an audit trail, and escalates before the deadline. Score whether the lead avoids guessing and records the reviewer, prospect question, and final approved wording.
Share the resolved definition with the owner of the response library after submission. That records the resolution for future use while recognizing that a future questionnaire may define the same term differently.
