Coordinate Approval for a New Reporting Commitment in an RFP Addendum

A finalist addendum can introduce a new reporting request days before an investment committee vote. The request may sound like a small customization, but client service, operations, and compliance may need to assess source data, delivery ownership, and approved wording. An RFP lead should coordinate that review rather than assure the committee that every report is available.
Capture the report name, recipients, frequency, format, and decision date. Compare the request with existing approved capabilities, then assign each gap to an owner in client service or operations. Tell the prospect what is confirmed, what is under review, and when the team can respond.
A committee secretary says, “Can you assure us the new report will be ready at launch?” The lead responds, “I can confirm we are reviewing the requested report with the teams that own delivery and approval. I should not promise a service before they validate the scope. Could you confirm the audience, frequency, and format your committee expects? We will return an approved answer before the vote agenda closes.” The secretary supplies the details.
The internal tracker should show the request as a proposed commitment until every required owner signs off. The external update should remain factual and dated.
