Set the Right Boundary for an RFP Question About an Operational Exception
Teach RFP leads to coordinate approved language when due diligence asks about an open remediation item.
A reviewer conducting operational due diligence may ask about unresolved exceptions using terms that reach beyond a standard questionnaire. If an internal remediation item is still being reviewed, the RFP lead cannot decide whether it qualifies or explain confidential details. The task is to define the request and obtain controlled language from the owners who can answer it.
Ask the reviewer what they mean by exception, which period applies, and whether they need a public statement, a documented control response, or a discussion under a separate process. Route the question to operations, legal, and compliance with the precise wording and deadline. Preserve any approved source material beside the draft.
The reviewer asks, “Does this remediation item mean your controls failed?” The lead says, “I cannot characterize an item that is under internal review. I can clarify the definition and request approved wording from our operations and legal owners. Can you confirm the period and level of detail your process requires, so we respond through the appropriate channel?” The reviewer provides a written definition.
The response plan should distinguish verified facts from internal detail that cannot be shared. It should also specify who approves the final text before submission.
Practice by asking a rep to answer a loaded question with limited facts. The rep should resist a defensive denial, gather the definition, and set a dated escalation. A manager can score whether the rep protects confidentiality while keeping the reviewer informed about the next action.
