Keep a Decision Record During a Research Adoption Review
Capture customer choices, open questions, and owners so an adoption meeting produces useful follow-through.
An adoption review can lose value when the group discusses many topics but records few decisions. A customer success scientist can give the meeting structure by capturing what the customer decided, what still needs evidence, and who owns each follow-up. The record supports the customer’s plan without taking over local authority.
During a fictional review, Amina, a lab manager, says, “We discussed training, support, and a future user group last quarter, but I cannot tell what changed.” The scientist says, “Let’s look at each topic and write the decision or question beside it. Who can confirm the next action?” Amina assigns training coordination to a supervisor, case updates to technical support, and the future user group to the core director.
Use a decision record with date, topic, customer decision, supporting evidence, owner, and review date. Give separate entries to service, training, local workflow, and commercial questions so each follows the right route. Refer to verified records when describing case status or completed support activity. Ask the customer to correct the notes before they become the basis for later follow-up.
Coach by ending every review with three summaries: the decisions made, the unanswered questions, and the next dates. A strong record gives the laboratory a usable memory of the meeting. It also gives every participant a clear reason to return with the information or action they agreed to provide.
