Map Sample Intake Before Proposing a Platform Evaluation

An intake queue is a discovery problem before it is a platform discussion. A research account executive should learn how samples arrive, who checks them, where they wait, and which handoffs create uncertainty. Starting with the facility’s own observations keeps the conversation useful when no one has verified a cause for the delay.

Ask the core director to describe a recent busy day from receipt through assignment. Include weekend coverage, incomplete submissions, sample labeling, and the people who decide whether an item can advance. Then ask which measure would make an evaluation worth their time: elapsed time, rework, visibility, or something else. Record assumptions separately from facts, especially if another group owns part of the intake process.

In a fictional call, the director says, “Can you show that your platform will eliminate our queue?” The executive replies, “I cannot make that conclusion before we understand the queue. Could we map one weekday and one weekend path with the intake lead and operations manager? Then we can agree what an evaluation should examine using approved product information.” The director explains that a separate team handles weekend receipts. That detail changes who needs to join.

For practice, use a whiteboard or shared document to reconstruct one sample’s path and mark every owner, decision, and missing fact. Review whether the proposed meeting has a stated purpose and the people who can supply those facts. A manager can listen for premature performance language and coach the executive to replace it with a precise discovery question.
