Resolve a Protocol Version Conflict Before Training the Next Shift
Identify the authoritative local process and route unreviewed changes through the laboratory’s governance.
Two versions of a laboratory protocol can create a practical training problem and a governance problem. A field application scientist should not choose a local version or approve an unreviewed change. Their useful role is to compare the current approved product instructions with the local documents, identify the difference, and direct the laboratory to its protocol owner.
Ask where each version is stored, which shift uses it, when it changed, and whether the local quality or laboratory leadership group reviewed it. Identify the exact step that differs instead of relying on a general description. Approved product references can clarify the vendor instruction, while the customer’s process determines how a local protocol is controlled.
In a fictional discussion, a supervisor asks, “Which version should we use for all future runs?” The scientist replies, “I can walk through how these versions compare with the current approved instructions. I cannot approve a local change. Who owns your protocol review, and can we bring that person the marked difference before more training occurs?” The supervisor finds that the version used on the night shift included a locally added incubation step that no one had submitted for review.
Practice with two mock protocols that differ in one step and one note. Have the trainee state what they can explain from approved material, what must be decided locally, and who should receive the comparison. A strong response keeps the next run from becoming an informal decision about a controlled document.
