Clarify a Nonstandard RFP Term Before Drafting a Capability Response
Handle an unfamiliar procurement term by requesting evidence before answering.
An RFP can contain a capability term that does not appear in the approved response library. Treat that term as a clarification issue and obtain its meaning before drafting a response. A research account executive protects the customer and the response team by documenting the term, locating the authorized evidence owner, and asking procurement what the evaluator means.
Read the full question in context before replying. Record the exact wording, the submission deadline, and whether the procurement process permits written clarification. Search approved materials for directly relevant evidence, but do not convert a partial match into a claim. If product management or an RFP lead must interpret the request, give them the original wording and the surrounding scoring context.
In a fictional call, a procurement specialist says, “Can you give us a broad answer so we can close the form today?” The executive responds, “I want our answer to address the criterion accurately. This term is not in our approved response material. May I submit a clarification asking how your committee defines it while our evidence lead reviews the request?” The specialist confirms that questions are accepted until Thursday and points to an attachment that describes the committee’s use of the term.
Use a concise RFP issue log during practice. Include the question, source document, unknown meaning, evidence owner, and next deadline.
