Route Data Questions to the Right Review During a Platform Evaluation

Questions about data governance deserve an early, structured response. A research account executive can help an institutional data steward identify what information an evaluation might involve, but should avoid deciding whether every possible use is compliant. That conclusion belongs with approved documentation and the customer’s own policy review.

Ask what data categories the research team expects to use, whether access is needed, where information would move, and which institutional reviewers own the decision. Distinguish a proposed dataset with identifying details removed from an approved arrangement to share data. When a security or handling question goes beyond the executive’s evidence, capture it exactly and route it to the designated specialist with the relevant approved materials.

In a fictional discussion, the steward asks, “Can you say our data will be compliant in every use case?” The executive responds, “I cannot make a blanket conclusion because your policies and intended use matter. Let’s list the data categories and the proposed access pattern. I will bring the approved documentation, and we can include your security and compliance reviewers before technical access is discussed.” The research team had planned to send a dataset before local review, so the group pauses that step.

Use a mock intake form to practice classifying questions as workflow, security evidence, customer policy, or legal review. Have a manager check that every routed question has an owner and source request. Good follow-through gives the steward a visible decision path with named owners and source requests.
