Set Boundaries for a Workflow Observation Follow-Up
Use a workflow observation to support adoption without changing a laboratory’s local process.
A workflow observation can help a laboratory describe an adoption barrier, yet the purpose must be clear before anyone enters the session. A customer success scientist should agree on what the laboratory wants observed, who authorizes attendance, and how notes will be reviewed. The scientist can report what was seen and connect the customer to approved resources without revising local procedures.
Ask the laboratory manager which step causes uncertainty and whether the issue concerns user access, handoff, training material, or a support question. Confirm any site or data restrictions. Decide in advance whether the next workflow discussion will be led by the customer or whether the issue needs a technical support escalation. These boundaries prevent a helpful visit from becoming an informal process change.
In a fictional call, Dr. Bell says, “Watch our next run and tell us how to fix the process.” The scientist replies, “I can observe the agreed handoff and capture questions for your team. Who owns the local process, and what information may I record?” Bell names the lab manager and limits notes to timing and handoffs. After the observation, the scientist shares a factual summary and asks the manager to lead any discussion of process changes.
Practice writing observation notes that separate what happened from suggested customer decisions. A manager can review whether each follow-up has a proper owner. This approach gives the laboratory useful visibility while preserving its responsibility for local workflow governance.
