Lead a recovery review after missed response targets
Address a service miss with shared facts, an escalation review, and a clear cadence for recovery.
When a client says a queue missed its response target, the BPO sales executive should begin with the impact and the timeline. The conversation loses value when it turns into a search for a single party to blame. A recovery review needs the contributing facts and a named owner for each action.
Ask when the queue changed, what the client experienced, and which signals should have triggered escalation. Include client teams when a knowledge outage, policy change, or system issue affected the work. The next review should show whether the agreed actions occurred and whether new risks emerged.
“Our customers waited far longer than the target last Tuesday,” says Laila, a client sponsor. Omar replies, “I understand the impact. Can we walk through the day from the first sign of trouble?” Laila says a knowledge base outage lengthened calls and the BPO supervisor raised it late. Omar asks, “Who could confirm the outage timeline, and what escalation path did the supervisor have at that point?” She identifies client IT and the operations lead. Omar says, “I will bring a timeline to a recovery session with both teams. We can assign owners for the knowledge issue, the escalation step, and the client update, then meet again to review the evidence.”
