Clarify disposition data before outsourcing a contact queue
Use disposition questions to define reporting needs, agent choices, and operational ownership.
Disposition codes can look like an implementation detail until a client relies on them to route work, investigate complaints, or explain demand to leadership. A BPO sales executive should ask how each code is chosen and used before assuming the partner can inherit the process unchanged.
Ask which codes drive follow up, which ones are mandatory, and who reviews errors. Find out whether agents choose a code before or after a case is resolved. If reporting combines data from other teams, invite the reporting owner to explain the definitions. A shared definition prevents a transition from creating numbers nobody trusts.
“Our vendor must use our disposition list,” says Teresa, a customer care director. Leo says, “We can examine the list with your operations team. Which codes create action after the call?” Teresa identifies a complaint code that starts an investigation. Leo asks, “How does an agent know when that code applies, and who checks it?” She says quality samples calls weekly. Leo replies, “Let us review a few completed cases with quality and reporting. We can identify the agent guidance, the validation step, and the field that reaches your executive report.”
Bring a sample disposition report to a practice session and circle one field that triggers another team’s work. Ask a partner to explain how it is completed. The sales executive should be able to summarize the chain from agent selection through operational decision and name the owner who validates each link.
