Protect knowledge transfer during an outsourcing transition
Make client knowledge usable by assigning owners for materials, exceptions, and ongoing updates.
An outsourcing transition can fail even when staffing and systems are ready if the incoming team receives scattered, outdated knowledge. A BPO sales executive should discover how the client maintains answers today and where agents go when written material does not resolve a case. Knowledge transfer is a continuing operating responsibility.
Ask which documents are approved, which ones agents trust most, and who can change them. Ask about seasonal exceptions and policy changes that arrive after training. The client may need a content owner, a publication routine, and a way for partner agents to report gaps before a service launch becomes credible.
“We can send you our knowledge base export,” says Marcus, an operations leader. Sofia asks, “When a policy changes, who tells your current agents?” Marcus says supervisors usually send a message. Sofia replies, “How would a partner agent know that message replaces an article?” He pauses and names the product operations manager. Sofia continues, “Could we review three recent changes with that manager? We can see where the update began, who approved it, and how it reached the floor. That will give the transition team a process for future changes.”
Choose one recent policy update and trace it from source to agent. Note every handoff and every owner. During roleplay, avoid treating an export as a complete answer. Ask for a real example of change, then propose a working session that produces a repeatable publication and escalation route.
