Create a National Process for Rental Damage Reporting

Different branch practices can make a national customer feel that every damage review is a separate argument. The national accounts manager should map the current records, missing documentation, authority to share records, insurer requests, and escalation contacts. A consistent process helps customers understand where facts are gathered and who can review a decision.
Maya, a risk manager, said, “Will you waive the disputed charges, and can you send every record today?” Colin replied, “I cannot decide a waiver or release records before the appropriate review. Let us identify the branch files, the signed return gap, and the authorization for sharing with your carrier. Then we can set one reporting process and an escalation owner.” Maya said one branch lacked a signed return form. Colin answered, “I will bring branch managers and our records contact into a working session so we can define what each report contains and how exceptions are handled.”
Colin does not hide the documentation gap, and he does not convert it into a liability conclusion. National governance works when the customer can see the evidence path and when branches know how to surface exceptions. The account manager’s job is to create that shared process.
Practice with three columns: records available, records missing, and records requiring authorization. Roleplay an insurer request arriving during the call. Practice saying which contact will review release authority, then set a meeting with the branch owners. Your recap should contain a process commitment, never a charge outcome.
