Payments AEs: Mapping an Invoice Collection Workflow Before a Demo

Invoice collection conversations become productive when a payments AE follows the customer’s work from delivery to resolution. Asking whether invoices are “easy to pay” invites a generic answer. Asking about one invoice that prompted a customer question reveals the people, systems, and decisions that shape the experience.
Picture a professional services firm whose client says an invoice link did not work. The AE asks, “Who receives that question first, and what can they see before they respond?” The billing coordinator may say they check the invoice system, then ask an account manager to confirm the client contact, while finance checks whether a payment attempt appeared elsewhere. The AE can draw this sequence and ask where the client receives an update. Nothing in that conversation requires a claim about collection outcomes.
Then separate delivery from follow-up. Ask how an invoice is addressed, what happens when the contact changes, and who decides that an overdue item needs personal outreach. If the buyer says several teams copy the same information into different places, ask which copy becomes the source for the next action. A precise answer may justify including billing and customer success owners in a discovery session.
Coach the AE with a specific call opening: “I am not asking for account details; I want to understand what happens after a payer reports a problem.” Have the customer challenge the premise. The AE should return to the workflow, ask one open question, and summarize the handoff. Reward curiosity and a clean distinction between what the merchant described and what still needs evaluation. That makes a later demonstration relevant to actual work.
