A delayed airport shuttle becomes urgent because the guest's clock is moving. Find the flight departure, requested airport arrival, current shuttle location, and any approved alternate transport before discussing remedies. The manager owns the coordination even when a transport vendor caused the delay.
Luis says, “The 6:00 shuttle never arrived, and boarding starts at 7:05.” The manager responds, “I understand the pressure. I am calling the driver now and checking the approved car service option. What time does your airline recommend you arrive at the terminal?” Luis says 6:35. The manager continues, “I will come back to you in two minutes with the driver's location and the transport choice we can arrange. If the car service is authorized, I will give the driver your destination and departure time.” Luis asks whether the hotel will pay. “I need to confirm that with the manager on duty,” she says. “I will include that answer in the update.”
Avoid predicting whether the guest will make the flight. A manager can make the next decision faster by stating exact facts: the driver is twelve minutes away, the car service can arrive in four, or neither option meets the guest's target. Ask the guest which approved choice they want once the facts are available, then document the decision and the contact number for an en route update.
Use a timer during practice. Give the manager boarding at 7:05, a driver delayed by traffic, and a car service estimate. Review whether they asked for the terminal target, named a callback point, and obtained authority before mentioning payment. Fast recovery comes from a short factual exchange and a decision the guest can act on.
