A guest leaving before the next shift creates a narrow window for a clean handoff. The manager should establish what remains unresolved, who owns the next action, and how the guest wants to receive an update. A vague note saying “follow up” leaves the departing guest to repeat the problem later.
Confirm the departure time, best contact method, reservation identifier, and the exact issue. Speak with the team that can act before the guest leaves whenever possible. Write a short handoff that separates confirmed facts, the guest’s request, actions already taken, the next owner, and the promised contact time. Use the approved process for any billing adjustment, recovered item, or recovery offer that needs authorization.
In a fictional morning conversation, Keisha said, “I leave at 6:15, and the maintenance lead still has not explained the water interruption.” Manager Ben replied, “I understand you need a clear next step before you travel. The maintenance lead is due at 7, so I will hand this to the morning duty manager with your preferred email and a request for an update by 10 a.m. May I confirm your departure time and the best address?” Keisha gave the details. Ben added, “I have recorded that water was unavailable from 5:40 to 6:05, that the front desk confirmed service returned, and that you want an explanation of the interruption. The duty manager owns the response.”
For practice, give managers a departure list and three unfinished cases. Ask them to make each handoff readable in thirty seconds. A reviewer should be able to identify the guest’s request, the next action, the responsible person, and the promised contact without making an assumption.
