Walk Through Cancellation Terms Before a Rate Choice
Teach reservations agents to connect a rate choice with the verified cancellation terms the traveler needs to consider.
A rate description is incomplete when it omits the cancellation terms that apply to that selection. Travelers need this information when plans may change. A reservations agent should locate the current terms for each available option, explain them in plain language, and invite the traveler to choose after hearing both price and conditions.
Ask whether the dates are firm and whether another person must approve the booking. Then describe each displayed option using the booking source. Give the traveler time to compare. The aim is an informed booking decision.
Priya was booking two nights for a conference and said, “I want the lower rate, but my employer may move the meeting.” In this fictional training exercise, the agent checked a sample rate card and said, “The first sample rate totals $360 and is nonrefundable after booking. The second totals $420 and permits cancellation until 6 p.m. hotel local time on May 10. Which option fits your conference risk?” Priya chose the second. The agent said, “I will record the $420 rate and the May 10, 6 p.m. cancellation deadline in the hotel’s local time. If your plans change, the confirmed booking terms and the property’s approved process will guide the request.”
Read back the selected rate, dates, and terms presented. The confirmation should remain the guest’s reference after the call. Leave reimbursement questions to the traveler’s employer.
For a team drill, give agents two current sample rate displays with different terms. Have them explain each without adding assumptions. A manager can score whether the agent checked the source, paused for the guest’s decision, and summarized the chosen option accurately.
