Explain a Rate Change When a Guest Adds a Night
Help reservations agents check the current rate for an added night and explain the revised total clearly.
An added night may carry a different rate because it is a separate date with its own availability and terms. The agent should first find the reservation, confirm the requested new departure date, and check the current booking source. Then explain the original room rate, the rate for the added date, and the amount due under the reservation terms.
Read the existing stay dates, room type, guest count, and rate rules before searching the extra night. Then say which part remains unchanged and which amount comes from the added date. If the booking system presents a revised total, repeat the cancellation and deposit terms that apply after the change. Route questions outside the displayed terms to the approved owner.
In a fictional call, Jordan said, “We booked Friday and Saturday, but our daughter’s game moved. Can we leave Monday without paying a different price?” Agent Nina replied, “I can check Sunday’s current availability against your reservation. May I confirm your confirmation number and that the room will still have two adults and one child?” After reviewing the display, Nina said, “Your Friday and Saturday rooms total $400, and parking for those two nights is $36. Sunday’s room is $214 and Sunday parking is $18. The whole-stay subtotal would be $668 before taxes. The reservation terms require us to confirm the change by 6 p.m. today.” Jordan asked why the hotel could not use Saturday’s rate. Nina answered, “Each night is priced from current inventory for that date. I can add Sunday now if you approve the $668 subtotal before 6 p.m.”
Give agents paired reservation screens with one added night. Ask them to explain the old dates, the new date, and the revised total in their own words. A manager should listen for a clear source and a precise next decision.
