Clarify Event Accessibility Requirements Through Specialists

Accessibility planning begins with what attendees need to participate in the event. A group sales manager can gather those requirements and bring in people designated to confirm room access, seating, menus, or communication supports. The manager should not certify an arrangement based on memory or ask for private medical details.
Ask about the event path from arrival through sessions, meals, and departures. Ask whether step-free routes are needed, whether presenters need a particular stage approach, how seating should work, and whether attendees will need information in an alternative format. Ask when the planner expects a final count and who may approve changes to the event plan.
In a fictional planning call, Aisha said, “Several attendees have access needs, and I need to know if the ballroom will work.” Sales manager Daniel replied, “I can help map the event requirements and arrange a review with our designated specialists. What parts of the day should we focus on: arrival, room access, seating, meals, or the stage?” Aisha explained that two presenters needed step-free stage access and several guests would use mobility devices. Daniel said, “I will share those functional requirements with the events and accessibility contacts. They will confirm the room setup and route information for these dates. I will send you a written list of the questions they are reviewing.”
Keep the planning record limited to event requirements and authorized contacts. The specialist’s confirmation belongs in the proposal or event plan once it is available. That record helps the planner see which arrangements are confirmed and which require a later decision.
In coaching, give a manager a planner message that says only “make the venue accessible.” Ask them to develop respectful follow-up questions and name the property owners who must respond. Review whether their wording focuses on access to the program.
