Security requests need a precise discovery conversation. A planner may say an event is private, but that can mean badge checks, a restricted entrance, a list at registration, or simply a preference to limit unplanned attendees. Group sales managers should gather the request without claiming that a particular control can be delivered.
Ask who may enter, how names will be supplied, when the list can change, and whether guests include executives, media, or people needing special access. Ask about deliveries, vendors, protest concerns, and the planner’s contact during the event. Explain that the authorized property team will review the information and determine what process fits the site. Do not promise staffing levels, screening methods, or access restrictions before that review.
Planner Omar says, “We need security because our board meeting is confidential.” Manager Elise asks, “What would a successful arrival process look like for your board members?” Omar says attendees should check in from a list, and no one should be directed to the room without a badge. Elise asks, “Will you have any vendors or press arriving?” Omar says a caterer and two reporters will attend a separate briefing. Elise responds, “I’ll send these details to our security and events leaders. They will review the room access, the list process, and the vendor arrival plan with you.”
Write the planner’s request in concrete terms and identify the person who controls changes to the guest list. Send it to the designated team early enough for a real review. At the next conversation, confirm what the team has approved and which questions remain. The planner can then use the approved plan to prepare attendees and vendors.
