Do not assume a title establishes access. The departing person may still appear in records until the change is processed. Tell Lee what the team can do now: receive the written authorization, secure the new contact details, and identify notices with approaching deadlines. Avoid sending policy records to an unverified address.
Practice a scenario where the requester is copied on an old email chain. The trainee should explain why that is insufficient and offer a simple path to confirm authority. A manager can assess whether the response protects information while keeping the client’s pressing service task visible.
