Handling a Purchase Order and Invoice Account Mismatch
Give accounts payable a factual correction path without changing order records during a call.
An account number mismatch can delay payment and frustrate everyone involved. The most useful inside sales response is factual: verify the records, explain the correction route, and avoid changing commercial documents without authorized review.
Ask the accounts payable specialist for the purchase order number, invoice reference, account numbers shown on each document, and the location associated with the order. Check the current order record. An older location code may explain the discrepancy, but it does not authorize a representative to edit the invoice while on the phone.
An AP specialist may ask, “Can you change the invoice number while we are on the call?” Reply: “I understand this is holding payment. I will compare the purchase order, invoice, and current order record, then send the discrepancy to order operations for authorized review. The order may have been placed under an older location code, but I do not want to alter the record before that team verifies the correction. I will confirm the case owner and update time.”
This answer avoids blame and makes the next action accountable. It also gives AP information they can use internally while the correction is reviewed.
Before closing the case, check that the recap includes the exact documents, account references, correction owner, and date of the next update. A complete case note is more valuable than a rushed promise.
