An order hold caused by missing documentation can frustrate a clinic that believes it already sent the record. The inside sales representative should explain the verified hold reason, avoid making tax determinations, and identify the documentation channel and owner who can review the submission.
Check the current order note before calling. State which document or account confirmation is missing from the record, without speculating about why a prior submission was not accepted. Ask whether the caller has a reference number or the contact who sent it. Give the authorized team a complete handoff.
An accounts coordinator says, “We are exempt. Why are you charging us and blocking the order?” The representative answers, “The order record shows that the documentation review is incomplete. I cannot determine tax status on this call, but I can help route the current record to the team that reviews it. If you share the submission reference and the contact who sent it, I will include those details and confirm when the review owner has received them.”
That language avoids an argument about a decision the representative cannot make. It turns the caller’s assertion into evidence the authorized team can examine.
