Reducing Repetitive Meetings in a Complex Device Account
A way to redesign account meetings around decisions, dependencies, and accountable owners from relevant functions.
Meeting fatigue is usually a signal that participants are reporting the same information without reaching a decision. A strategic account manager can help the health system reshape the meeting around items that need an owner, a dependency, or an authorized decision. The customer retains authority over its governance and priorities.
Review the last two agendas and mark which subjects ended with a decision, a dependency, or neither. Move updates on status alone to a written record when the group agrees. For each remaining topic, name the customer decision owner and the information required before that owner can act.
A program manager says, “Every call repeats service, training, and renewal issues. Can you streamline it?” The manager says, “Let’s identify which items need this group’s decision and which can be updated between meetings. For the remaining items, we can list the owner, the fact still needed, and the date for a decision review. Your team can confirm who has authority for each area; I will make sure our service and commercial inputs are ready.”
The redesigned agenda makes the next meeting easier to prepare for because every discussion has a purpose. It does not create a new customer governance model by fiat.
Bring three recent agenda items to a coaching session. Classify each as decision, dependency, or status. Practice asking for the customer owner without assigning one yourself, and check that the written follow-up separates verified service facts from pending commercial review.
