Lead a Renewal Review When Adoption Is Uneven
A client partner can discuss renewal credibly by reviewing verified adoption, local ownership, and a recovery path.
An uneven adoption review should begin with what the client can verify. A client partner who opens with expansion ideas before examining usage creates avoidable friction. Review the original purpose, the teams expected to participate, the activity that actually occurred, and the owners responsible for local adoption. This creates an honest basis for deciding whether recovery work, renewal, or a different plan is appropriate.
Ask the sponsor what evidence they trust. Team attendance, workflow use, manager feedback, and approved performance measures each answer different questions. Find out whether an executive champion has changed roles and whether team leaders received the implementation support they needed. Keep observations separate from conclusions until the client leaders have reviewed them together.
The program sponsor says, “Only two of six teams use the playbook. Why would we renew?” The client partner answers, “That is a fair question. Let’s look at the adoption record by team and identify what each leader was asked to own.” The sponsor explains that one team missed every implementation session after a leadership change. The partner says, “We can document that gap and invite the team leaders to a recovery review. The decision can then weigh the evidence, the sponsor’s priorities, and the work each leader is prepared to support.”
Write a short recovery plan that names who will collect the evidence, which leaders will meet, and when the renewal decision is due. Use the review to establish the current facts and the work that remains. Practice by stating one verified fact, asking one ownership question, and proposing a next step that the sponsor can authorize.
