Reset a late timesheet approval process with a client
Use a short account review to identify the owner and timing behind recurring approval delays.
Repeated late approvals create uncertainty for workers and extra work for client payroll teams. A client success manager should map the approval process, including its owner, timing, interruptions, and backup coverage. A small map often exposes an ownership gap that a reminder cannot solve.
Bring examples from recent periods, keeping the facts focused on dates and workflow. Invite the client to choose a workable reminder and backup arrangement. The staffing team can support the agreed communication, while the client retains responsibility for its internal approval decision.
Client success manager Omar told supervisor Gwen, “Three timecards waited past Monday noon this month. What happens after a worker submits one?” Gwen said, “I approve them, but I am on the floor during the cutoff.” Omar asked, “Who can approve when you are unavailable?” Gwen named the shift coordinator. Omar replied, “Would a Friday review list and coordinator backup help? I can send it to both of you, and you can confirm the arrangement.” Gwen accepted and set a Friday morning check.
Practice by drawing a timecard path from worker submission to approval. Circle the point where a delay occurred and write one question for the owner at that step. Then roleplay an account review in which the supervisor says reminders are enough. Ask about coverage and timing until an actual backup appears. Review whether the agreed action can be observed in the next pay period.
