Managers often seek email shortcuts when a new vendor management workflow feels slow. The client success manager should listen for the actual friction while preserving the approval path the program requires. Training gaps and system visibility problems may need different owners and different fixes.
Marta, the program director, said, “Can you accept requests by email while we work this out?” David replied, “The workflow requires manager and finance approval, so email would bypass the process you launched. Could we examine where requests stop and whether managers understand the new fields?” Marta said, “Several managers missed training, and the dashboard hides rejected requests.” David said, “That gives us two hypotheses. David should collect examples without copying candidate information into a broad troubleshooting thread. A short review can track request age, rejection reason when visible, training attendance, and the responsible team. The program director can decide which measures show that the recovery is working. The staffing team can then reinforce the approved route in its client communications.
