Set Expectations for Account Consolidation Paperwork
Help a client prepare a complete consolidation request while leaving recommendations to the proper review.
Clients sometimes call a service associate ready to “combine everything” because managing several accounts feels burdensome. The associate can explain paperwork and intake requirements, but should not decide which accounts belong together or describe an outcome before the appropriate planning and operations review.
Clarify which outside institution is involved, whether the client has recent statements, and what transfer materials the firm requires. Explain secure delivery, signature requirements, and likely review points using approved language. If the client asks whether consolidating is the right decision, route that planning question to the advisor.
Owen says, “I have three old accounts. Can you just pull them over?” The associate responds, “I can help you understand the transfer paperwork and the documents our team may need. A decision about whether an account should move belongs in a review with your advisor.” Owen has two recent statements but cannot find the third. The associate says, “Let’s start with the accounts you can document, then I will send a secure checklist for the remaining information.” She sets a follow-up date after the client has contacted the outside firm.
Before closing a similar call, repeat the client’s next two actions and your own. A manager can coach for accuracy by checking that the associate never turned a document request into an unsolicited recommendation.
