Handling a Client Liquidity Request Before a Distribution

When a client needs assets for a distribution, the request can sound urgent enough to invite a settlement promise. A portfolio specialist should create clarity without taking control of an operational decision. The essential work is to confirm the request details, consult the mandate and operating process, and make sure the client knows who owns the next response.
Ask for the amount, desired date, receiving instructions, and the purpose of the distribution. Confirm whether those instructions are already authorized and whether the client is asking about portfolio liquidity, operational processing, or both. Do not assume that a stated date has been validated by operations.
A treasurer says, “We need cash next Thursday. Can you guarantee it will settle?” The specialist answers, “I understand the timing matters. I cannot guarantee settlement before operations confirms the request and the mandate process. May I document the amount, date, and instructions, then connect the appropriate operations owner today?” The treasurer confirms the details. The specialist sends a written recap and states when the client will receive a verified status update.
Practice this handoff using a request with incomplete instructions. A strong specialist notices what is missing, does not invent a timetable, and keeps the client informed. Managers should review whether the recap distinguishes the client’s requested date from a confirmed operational commitment.
If market or mandate conditions could affect the request, leave that evaluation with the responsible investment and operations teams. The specialist’s recap should state the details provided, the review path, and the next confirmed update.
