Preparing for an Institutional Finalist Meeting

If a question needs portfolio, operations, or compliance input, assign an owner before the meeting and decide what the team will say if the answer is still under review.
Consider a consultant saying, “The committee will press on drawdowns and team depth.” The salesperson answers, “Thank you. We will use the approved performance and organization materials, and I will confirm who should address each topic. Are there questions the committee wants handled in writing after the meeting?” The consultant adds that governance is a concern. The salesperson says, “We will prepare a concise agenda that shows where the documented process and oversight materials address that concern.”
After rehearsal, ask each presenter to state the question, source, boundary, and follow-up owner in one minute. A manager should listen for unsupported predictions or improvised commitments. The meeting succeeds when the committee receives clear answers, the team records unresolved items, and every promised follow-up has a responsible person and date.
Send the internal follow-up list immediately while language and ownership are fresh. Assign one person to confirm that every written response remains consistent with the finalist materials, especially when committee questions trigger requests for additional analysis.
