Create a clear approval path when an outside collaborator requests project information from a research institution.
An outside collaborator’s request for project information should trigger a governance conversation before files move between teams. The strategic account manager can coordinate the stakeholders and clarify the request, while the institution’s compliance and security reviewers determine the appropriate path. Helpful coordination never requires the account team to decide policy on the customer’s behalf.
Ask what information is requested, who would receive it, why it is needed, and which institution or project owner controls it. Identify the compliance officer, reviewer for information security, and principal investigator or research owner. Capture any existing approved terms and route unanswered questions to the designated evidence owners. Do not send data while approval is pending or describe a pending review as a completed authorization.
In a fictional meeting, a compliance officer asks, “Can you send the collaborator the data while approval is pending?” The account manager replies, “No data should move through our team before the required review. Let’s document the recipient, data category, and project purpose, then confirm the institutional and security owners who need to assess it.” The group discovers that the collaborator’s access request is broader than the research team understood.
Use a stakeholder exercise to map one request from intake to decision. A manager can check that the trainee distinguishes facts, approval questions, and communication tasks. The record should make it easy for reviewers to see what they are being asked to decide.
